Privacy Policy

What information do we collect?

Bold Copy Lab (hereinafter referred to as the “Website”) is owned and operated by Inteligencia Colectiva S.A.S. (N.I.T. 900889546-1; hereinafter the “Operator”). This Privacy and Personal Data Protection Policy (the “Policy”) defines the rights and responsibilities of the individuals whose personal data is collected (“Data Subjects”) and the obligations of the Operator regarding the collection, use, storage, and protection of such data.

This Policy sets forth the principles and guidelines followed by the Operator, its employees, and any authorized third parties responsible for processing personal data on behalf of the Operator.

Before providing your personal information, please read this Policy carefully. The terms set forth herein govern the processing of personal data collected both in person and through electronic means, such as the Website, emails, and forms. If you disagree with any part of this Policy, please refrain from using the Website or submitting your personal data.

Scope

This Policy applies to the processing of personal data of suppliers, contractors, employees, beneficiaries, and third parties whose data the Operator collects through both in-person and remote means.

Definitions

  • Authorization: Prior explicit and informed consent granted by the bearer for the processing of their personal data.

  • Database: A structured set of personal data processed by the Operator or an authorized third party.

  • Operator: Inteligencia Colectiva S.A.S., Tax ID No. 900889546-1, located at Cra 56 # 68-85, Barranquilla, Colombia.

  • Third-party data processor: Any individual or organization, whether public or private, authorized to process personal data on behalf of the Operator.

  • Personal Data / Information: Any data that directly or indirectly identifies an individual.

  • Data Subject: The individual whose personal data is processed; also referred to as “User” when data is collected via the Website.

  • Treatment: Any operation performed on personal data, including collection, storage, use, sharing, or deletion.

  • Transfer: The act of sending personal data to third parties who may be located within or outside Colombia.

  • SIC: Colombia’s Superintendence of Industry and Commerce.

Principles of Personal Data Processing

The Operator undertakes to comply with Law 1581 of 2012 (Colombia) and related regulations, guided by the following principles:

  • Purpose: Data processing must have a lawful, specific purpose that is clearly communicated to the data subject.

  • Freedom: Processing requires prior, explicit, and informed consent from the holder.

  • Quality: The data collected must be accurate, complete, up-to-date, verifiable, and truthful.

  • Transparency: Bearers’ rights must be clearly communicated and protected at all times.

  • Access and Restricted Circulation: Access to personal data is limited to authorized personnel only.

  • Security: Data will be protected by appropriate technical and organizational measures to prevent unauthorized access, loss, or alteration.

  • Confidentiality: All parties involved in data processing are required to maintain confidentiality both during and after the relationship.

Personal Data Collected

The Operator may collect and store personal data from Users and other Bearers, including but not limited to:

  • First name, last name, gender, age, marital status

  • Contact information: address, email, phone numbers (landline and cell phone)

  • Professional information: occupation, employer details, job title, work address, and phone number

  • Access data: date and time of website visits, IP address, referral URLs

  • Interaction data: forum participation, downloads, subscriptions, communications

Purposes of Data Processing

Personal data is collected and processed with the holder’s consent for purposes including, but not limited to:

  • Providing and improving the services offered by the Operator

  • Communications regarding services, events, and activities

  • Hiring and managing relationships with partners, suppliers, and contractors

  • Responding to inquiries, requests, and feedback

  • Compliance with legal and tax obligations

  • Sending promotional materials or newsletters (with prior consent)

  • Statistical analysis and trend monitoring to improve website and service quality

  • Participation in webinars, courses, forums, and other Operator activities

Data may be shared with third-party service providers who assist with data processing, always in accordance with strict confidentiality agreements and legal requirements.

Authorization and Consent

The Operator collects personal data only with the prior consent of the Bearer. Consent is obtained explicitly and is accompanied by clear information about how the data will be used and the Bearer’s rights regarding their data.

Bearers' Rights

Under Colombian law, bearers have the right to:

  • Access their personal data held by the Operator

  • Request updates, corrections, or deletions of inaccurate or incomplete data

  • Withdraw your consent to data processing at any time

  • Request proof of prior authorization for data processing

  • File claims or complaints related to data misuse or breaches

Data Processing and Third Parties

The Operator may engage third-party service providers to assist with data processing activities such as email distribution, marketing, data storage, and analysis. These providers are bound by confidentiality and legal compliance obligations and may only process data for the agreed-upon purposes.

Queries and Claims

Users may submit inquiries or requests regarding their personal data. The Operator will respond within ten (10) business days. If a delay is necessary, the Operator will notify the user of the reasons and provide a new response date (no later than five (5) business days after the original deadline).

Claims must include:

  • Identification of the bearer

  • Description of the issue

  • Contact information

  • Supporting documents

If additional documents are required, the Bearer will be notified and must submit them within five (5) days. If the Bearer does not provide the documents within two (2) months, the claim will be considered withdrawn.

Security Measures

The Operator is committed to safeguarding personal data through technical, human, and administrative security measures to prevent unauthorized access, alteration, loss, or misuse. Subcontractors and suppliers with access to personal data are contractually obligated to maintain confidentiality and use the data solely for authorized purposes.

Personal Data of Minors

The Operator does not knowingly collect data from individuals under the age of 18 without the prior explicit consent of both parents or legal guardians. If parents or guardians discover that data has been collected from minors without authorization, they may request that it be deleted immediately.

International Data Transfers

Personal data may be transferred to third parties located outside Colombia. When transferring data to countries without equivalent data protection standards, the Operator will obtain explicit consent from the User, in accordance with Colombian legal requirements.

Compliance with Legal Authorities

The Operator cooperates with the relevant authorities on matters related to intellectual property, fraud prevention, and other legal issues. Personal data may be shared with authorities upon request, particularly in investigations involving fraud, intellectual property infringement, or other illegal activities.

Policy Updates

This Privacy Policy was last updated in May 2017 and remains in effect for as long as necessary to fulfill its purposes. The Operator reserves the right to update it periodically. Users are encouraged to review this Policy regularly.
